Why HubSpot + Meetario
When a prospect books a meeting through Meetario, the booking data — name, email, meeting time, custom field responses — should flow into your CRM automatically. With the HubSpot integration, Meetario creates or updates a contact in HubSpot and logs the meeting as an activity. No manual data entry, no missed leads.
What the Integration Does
- Contact sync — When someone books, Meetario checks if the email exists in HubSpot. If yes, it updates the contact. If no, it creates a new one with the guest's name and email.
- Meeting logging — Each booking is logged as an Engagement (meeting type) on the contact timeline. The engagement includes the event type name, date/time, duration, and any notes the guest provided.
- Cancellation handling — If a booking is cancelled, the engagement is updated to reflect the cancellation.
Step 1: Create a HubSpot Private App
- In HubSpot, go to Settings → Integrations → Private Apps.
- Click Create a private app. Name it "Meetario".
- Under Scopes, add:
crm.objects.contacts.read,crm.objects.contacts.write,crm.objects.deals.read,sales-email-read. - Click Create app and copy the Access Token.
Step 2: Connect in Meetario
- Go to
/app/integrationsand find the HubSpot card. - Click Connect and paste your Private App Access Token.
- Click Save & Connect.
Step 3: Verify the Sync
To test, create a test booking on your own booking page. Then check HubSpot:
- Search for the test email in Contacts — a new contact should appear.
- Open the contact and look at the Activity timeline — the meeting should be logged.

- Measure conversion — Track how many booking page visitors convert to meetings, and how many meetings convert to deals.
Troubleshooting
- If contacts are not created, check that the HubSpot integration shows "Connected" in Meetario and that your Private App has the required scopes.
- If you see duplicate contacts, HubSpot deduplicates by email — ensure the guest email is correct.
- Private App tokens do not expire. If you need to reconnect, disconnect in Meetario, then paste a new token.
