How to Get Booking Notifications in Telegram

Why Telegram Notifications

Email notifications are easy to miss. Telegram messages are instant and hard to ignore. By connecting Telegram to Meetario, you receive real-time booking alerts directly in Telegram — new bookings, cancellations, and reminders all arrive as Telegram messages within seconds.

How It Works: Overview

Meetario uses the Telegram Bot API to send notifications. The setup involves two steps:

  • Admin setup — Create a Telegram bot using BotFather and configure its credentials in Meetario.
  • Team member connection — Each team member connects their Telegram account by messaging the bot.

Step 1: Create a Telegram Bot

If your account admin has not set up a Telegram bot yet, you need to create one first:

  • Open Telegram and search for @BotFather (the official Telegram bot creation tool).
  • Send the command /newbot.
  • BotFather asks for a name for your bot. Enter something like Meetario Notifications.
  • BotFather asks for a username. This must end with "bot", e.g., meetario_company_bot.
  • BotFather responds with your new bot token — a long string like 123456789:ABCDefGHIjklMNOpqrsTUVwxyz. Copy this token.

Step 2: Configure the Bot in Meetario

As the account admin, go to /app/integrations and find the Telegram integration card. Click Connect and enter:

  • Bot Token — Paste the token from BotFather.
  • Bot Username — Enter the bot username you chose (without the @).

Click Save. Meetario verifies the bot token with the Telegram API and registers a webhook so it can receive messages.

Step 3: Connect Your Telegram Account

Once the bot is configured, each team member who wants Telegram notifications needs to connect their account:

  • Go to /app/integrations and click Connect Telegram under the Telegram section.
  • You will see a unique connection link or QR code that opens a Telegram chat with your bot.
  • Click the link (or scan the QR code on your phone). This opens Telegram and starts a conversation with the bot.
  • In the Telegram chat, tap Start or send /start.
  • The bot responds with a confirmation message, and your Meetario account shows Telegram as connected.

What Notifications You Receive

Once connected, you receive Telegram messages for:

  • New booking — Includes the guest name, email, event type, date/time, and any custom field responses. You also get the meeting link (Zoom/Jitsi) right in the Telegram message.
  • Booking cancellation — Notifies you when a guest cancels their booking.
  • Booking rescheduled — Shows the old and new date/time when a booking is moved.

The messages are formatted with clear sections so you can quickly scan the important details.

Team Notifications

In a team setup (where you have managers or multiple hosts), each team member can connect their own Telegram account. They will only receive notifications for bookings assigned to them. For example, in a round-robin event type, only the team member who is assigned the booking receives the Telegram alert.

Account admins can see which team members have connected Telegram in the team management section.

Troubleshooting

Not receiving notifications

  • Verify the bot token is correct in /app/integrations.
  • Make sure you have sent /start to the bot in Telegram. The bot cannot send you messages until you initiate the conversation.
  • Check that you have not muted or blocked the bot in Telegram.
  • Ensure the Meetario integration status shows "Connected" (green badge).

Bot token invalid

If you see a "Bot token invalid" error, go back to BotFather in Telegram and send /mybots to list your bots. Select your bot and use API Token to view or regenerate the token. Update the token in Meetario.

Multiple accounts

Each Telegram account can only be connected to one Meetario user. If you need to switch which Meetario account receives notifications on a particular Telegram account, disconnect from the old account first, then connect to the new one.

Disabling Telegram Notifications

To stop receiving Telegram notifications, go to /app/integrations and click Disconnect next to Telegram. You can reconnect at any time by repeating the setup process.
