How Telegram Notifications Work in Meetario

Meetario uses the Telegram Bot API to deliver notifications. The flow is straightforward:

Your account admin creates a Telegram bot using BotFather and enters the bot token in Meetario.
Each team member who wants notifications opens a chat with the bot and sends /start.
From that point on, Meetario sends booking events directly to that person's Telegram chat through the bot.

There is no polling, no third-party middleware, and no monthly fee. The bot is yours to name and brand however you like.

Step-by-Step Bot Configuration

If you have not yet created your Telegram bot, here is the complete process:

Open Telegram and search for @BotFather.
Send /newbot and follow the prompts. Choose a display name (e.g., "Acme Bookings") and a username ending in "bot" (e.g., acme_bookings_bot).
BotFather replies with your bot token — a string like 123456789:ABCDefGHI.... Copy it.
In Meetario, go to /app/integrations, find Telegram, and click Connect.
Paste your bot token and bot username, then click Save.
Meetario verifies the token and registers a webhook with Telegram's servers.

After this, the bot is live. Any team member can connect by messaging it.

Customizing Your Bot

Before sharing the bot with your team, you can personalize it in BotFather:

Profile photo — Send /setuserpic to BotFather and upload your company logo.
Description — Send /setdescription to add a short explanation like "Booking notifications for Acme Consulting."
About text — Send /setabouttext for a one-liner that appears on the bot's profile page.

These are cosmetic changes — they do not affect how notifications work, but they make the bot look professional when team members first interact with it.

Connecting Individual Team Members

Each person who wants Telegram notifications needs to connect independently:

Log in to their own Meetario account.
Go to /app/integrations and click the Telegram connection link or scan the QR code.
In the Telegram chat that opens, tap Start or type /start.
The bot confirms the connection, and Meetario shows a green "Connected" badge.

This per-user design is important for teams using round-robin scheduling. When a booking is assigned to a specific team member through round-robin rotation, only that person receives the Telegram notification — not the entire team. This prevents notification noise while ensuring the assigned host always knows about their new meeting.

What Notifications Look Like

Meetario sends three types of Telegram messages:

New booking — Contains the event type name, scheduled date and time (in your timezone), guest name, guest email, meeting duration, the video call link if the event type uses Zoom or Jitsi, and any custom field answers the guest provided. All formatted with clear labels so you can scan it in seconds.
Cancellation — Shows which booking was cancelled, who cancelled it, and the original date and time.
Reschedule — Displays both the old and new date and time so you immediately see what moved.

Combining Telegram with Calendar Sync

Telegram tells you about a booking. Your calendar makes sure you actually show up. The strongest setup is to connect both: Telegram for instant mobile awareness, and Google Calendar or Outlook for automatic event creation with conflict detection.

Here is the recommended workflow:

Troubleshooting

Bot not responding to /start — Verify the bot token in /app/integrations matches what BotFather issued. If you regenerated the token, update it in Meetario.
Notifications stopped arriving — Check that the integration status still shows "Connected." Occasionally, Telegram's webhook can be overwritten if you use the bot token in another application. Reconnecting in Meetario re-registers the webhook.
Team member not getting alerts — Each user must connect individually from their own Meetario login. An admin connecting Telegram does not enable notifications for the whole team.
