How to Connect Meetario with Zapier

Why Zapier + Meetario

Zapier connects Meetario to 5,000+ apps without writing code. When a booking is created, cancelled, or rescheduled, Zapier can automatically update your CRM, send an email, add a calendar event, create a task, or trigger any other action across your tool stack.

How It Works

Meetario sends webhook events when bookings change. Zapier's "Webhooks by Zapier" trigger catches these events and runs your Zap automatically.

Step 1: Create a Zap with Webhook Trigger

  1. Log in to zapier.com and click Create Zap.
  2. For the trigger, search for Webhooks by Zapier and select Catch Hook.
  3. Zapier generates a unique webhook URL — copy it.

Step 2: Add the Webhook URL in Meetario

  1. Go to /app/webhooks in your Meetario dashboard.
  2. Click Add Webhook.
  3. Paste the Zapier webhook URL.
  4. Select the events: booking.created, booking.cancelled, booking.rescheduled.
  5. Click Save.

Step 3: Test and Add Actions

  1. In Zapier, click Test trigger.
  2. Create a test booking in Meetario.
  3. Zapier shows the received data — attendee name, email, event type, times, meeting URL, etc.
  4. Add an action step: Google Sheets, Slack, HubSpot, Mailchimp, Trello, or any of 5,000+ apps.
  5. Map the webhook fields to the action fields and turn on the Zap.

Example Zaps

  • New booking → Google Sheets — Automatically log every booking for analytics.
  • New booking → Gmail — Send a custom welcome email to the attendee.
  • New booking → Trello card — Create a preparation checklist for each meeting.
  • Cancelled booking → Slack notification — Alert your team about cancellations.
  • New booking → HubSpot deal — Create a deal in your pipeline for sales calls.

Zapier vs Native Integrations

Meetario has native integrations for HubSpot, Salesforce, Pipedrive, Zoho CRM, Slack, and Telegram. These are faster and more reliable than Zapier because they don't involve a middleware step. Use Zapier when you need to connect an app that Meetario doesn't natively support — Google Sheets, Mailchimp, Trello, Asana, etc.

Tips

  • Use Zapier Paths to route different event types to different actions (e.g., sales bookings go to CRM, support bookings go to Zendesk).
  • Zapier's free plan allows 100 tasks/month. For higher volume, consider Make.com which offers more operations on the free plan.
  • Use Zapier Formatter to reformat dates, split names, or transform data before sending it to the action app.
