Why Your Booking Page Needs Google Calendar Sync
A booking page that is not connected to your calendar is only half a scheduling tool. Without a live connection to Google Calendar, guests can pick times that overlap with meetings you already have, and you end up managing two separate sources of truth: your calendar and your booking tool. Meetario solves this by treating your Google Calendar as the single source of truth for your availability, so the booking page and your calendar are always in agreement.
When Google Calendar sync is set up correctly, the booking page becomes a live reflection of your real schedule. Anyone who visits it sees only the times you are actually free, and every confirmed booking is written straight back into your calendar without you touching a keyboard.
How Two-Way Sync Works in Meetario
Two-way sync means information flows in both directions between Meetario and Google Calendar:
- Reading from Google Calendar — Meetario checks your existing events to determine which time slots are busy, and hides those slots from your public booking page.
- Writing to Google Calendar — When a guest books a slot, Meetario creates a new event on your Google Calendar automatically, complete with guest details, video link, and any custom form answers.
Because this happens through the Google Calendar API rather than a periodic export or import, changes are reflected within seconds rather than after a nightly sync job.
Step 1: Create Your Event Type
Log in to your Meetario dashboard and go to /app/event-types. Click Create Event Type and configure the basics:
- Name and description (for example, "30-Minute Discovery Call").
- Duration of the meeting.
- Location type: video call, phone call, or in-person.
- Booking type: individual, round robin, group, or collective, depending on who should be able to accept the meeting.
Step 2: Connect Google Calendar
Go to /app/integrations and click Connect on the Google Calendar card. You will be redirected to Google to authorize access, then returned to Meetario with a "Connected" status. In the integration settings, choose which calendar new bookings should be written to, and which calendars Meetario should read for conflict checking. If you keep separate work and personal calendars, select both so personal appointments also block your booking page.
Step 3: Configure Availability Rules
Availability rules define the hours during which your booking page can offer time slots at all, before Google Calendar conflicts are even applied. On the event type, open the Availability tab and set:
- Working days and hours for each day of the week.
- Minimum notice required before a booking (for example, no bookings within the next 4 hours).
- How far into the future guests can book (for example, up to 60 days out).
Google Calendar sync then layers on top of these rules: a slot only appears as available if it falls within your working hours and your connected calendar shows no conflicting event.
Step 4: Set Buffers and Booking Limits
Real availability is more than an open calendar slot. Add buffer time before and after meetings so back-to-back calls do not run into each other, and set a daily booking cap if you want to limit how many meetings can be scheduled per day. These settings work together with the live Google Calendar data to produce a schedule that matches how you actually want to work, not just what happens to be technically free.
Step 5: Publish and Share Your Booking Page

What Happens When Someone Books
When a guest completes a booking on your Meetario page:
- Meetario re-checks Google Calendar one final time to confirm the slot is still free (protecting against a conflict that appeared moments earlier).
- A new event is created on your selected Google Calendar with the guest name, email, meeting link, and any custom field responses.
- Both you and the guest receive a confirmation email with the calendar event attached.
- The slot immediately disappears from your booking page for any other visitor.
Why Real-Time Availability Matters
Many calendar tools cache availability and refresh it every few minutes. That gap is where double-bookings happen: two guests can both see the same slot as open and both submit a booking. Meetario queries Google Calendar at the moment a page is loaded and again at the moment a booking is submitted, closing that window as tightly as possible.
Troubleshooting
Booking page shows a slot that is actually busy
Confirm the calendar containing that event is selected under "Calendars to check for conflicts" in your integration settings. Events on unselected calendars are invisible to Meetario.
New bookings are not appearing in Google Calendar
Check that a calendar is selected under "Calendar for new events." If the integration shows "Connected" but nothing is being written, disconnect and reconnect Google Calendar to refresh the authorization.
Guests see no available times at all
This usually means your availability rules and Google Calendar conflicts overlap completely, or your working hours have not been configured. Review the Availability tab on the event type.
