How to Sync Microsoft Outlook Calendar

Why Connect Outlook Calendar

If your organization uses Microsoft 365 or Outlook.com, connecting Outlook Calendar to Meetario ensures your booking availability is always accurate. Just like the Google Calendar integration, Outlook sync provides:

  • Real-time conflict detection — Existing Outlook events automatically block those time slots on your booking page.
  • Automatic event creation — New bookings are added to your Outlook calendar with full meeting details.
  • Two-way updates — Cancellations and reschedules are reflected in both Meetario and Outlook.

Step 1: Navigate to Integrations

Sign into your Meetario account and go to /app/integrations. Find the Microsoft Outlook card in the calendar integrations section. Click Connect.

Step 2: Authorize with Microsoft

You will be redirected to the Microsoft login page. Here is the process:

  • Enter your Microsoft account credentials (your work/school account or personal Outlook.com account).
  • Microsoft displays the permissions Meetario is requesting:
    • Read and write your calendars — Allows Meetario to create booking events and check for conflicts.
    • Read your profile — Used to identify your account.
    • Maintain access to data you have given it access to — Allows the connection to persist without re-authenticating every session.
  • Click Accept to authorize.

If your organization uses Microsoft 365 with admin-controlled consent, your IT administrator may need to approve the Meetario app first. Contact your IT department if you see a "Need admin approval" message.

Step 3: Select Your Calendar

Once connected, Meetario retrieves your Outlook calendars. In the integration settings, configure:

  • Primary calendar for events — Where new booking events will be created. Typically this is your default "Calendar" folder.
  • Conflict check calendars — Select all calendars that should block availability. Include shared team calendars if you want those events to prevent bookings too.

How Outlook Sync Works

Meetario integrates with Microsoft Graph API for calendar operations:

  • Booking created — An Outlook calendar event is instantly created. The event includes the meeting title, description with all booking details, video meeting link, and the guest is added as an attendee (they receive an Outlook meeting invitation).
  • Booking cancelled — The Outlook event is deleted, and the guest receives a cancellation notice from Outlook.
  • Booking rescheduled — The event time is updated in Outlook, and an updated invitation is sent to the guest.
  • Availability check — When a visitor opens your booking page, Meetario queries the Microsoft Graph API for your calendar free/busy data and hides unavailable slots.

Using Both Google Calendar and Outlook

You can connect both Google Calendar and Outlook simultaneously. Meetario checks all connected calendars for conflicts when displaying your availability. New events will be created in whichever calendar you designate as your primary. This is useful if you use Google Calendar for personal life and Outlook for work — both are checked to prevent double bookings.

Troubleshooting

Admin consent required

Organizations with Microsoft 365 Business or Enterprise plans may restrict which apps can access calendar data. If you see "Need admin approval", ask your IT administrator to approve the Meetario application in the Azure Active Directory admin portal.

Events not appearing

Verify the integration status at /app/integrations shows "Connected". Check that you have selected the correct calendar for new events. If the issue persists, disconnect and reconnect the integration to refresh the OAuth tokens.

Shared mailbox calendars

Meetario connects to your personal Outlook calendar. Shared mailbox calendars or resource calendars are not directly supported. If you need to check a shared calendar for conflicts, add it as a calendar overlay in your Outlook first.

Revoking Access

To disconnect Outlook from Meetario, go to /app/integrations and click Disconnect next to Microsoft Outlook. You can also revoke access from your Microsoft account at account.live.com/consent/Manage.
