How to Connect Zoom to Meetario

Why Connect Zoom

If you already use Zoom for video calls, connecting it to Meetario automates the meeting creation process. When someone books a time slot, Meetario creates a Zoom meeting and includes the join link in the confirmation email — no manual step required.

Prerequisites

  • A Zoom account (free or paid). The free Zoom plan has a 40-minute limit on meetings with 3+ participants.
  • A Meetario account.

Step 1: Go to Integrations

Sign into Meetario and navigate to /app/integrations. In the Video Conferencing section, find Zoom and click Connect.

Step 2: Authorize with Zoom

You are redirected to the Zoom OAuth page:

  • Sign in to your Zoom account if you are not already logged in.
  • Zoom displays the permissions Meetario is requesting:
    • View and manage your meetings — Allows Meetario to create, update, and delete Zoom meetings.
    • View your user information — Used to identify your Zoom account.
  • Click Allow to authorize.

You are redirected back to Meetario with a "Connected" status on the Zoom integration card.

Step 3: Use Zoom in Your Event Types

Now that Zoom is connected, you can use it as a location for any event type:

  • Go to /app/event-types and create or edit an event type.
  • In the Location field, select Zoom from the dropdown.
  • Save the event type.

From now on, every booking for that event type will automatically create a Zoom meeting and include the join URL in the confirmation.

What Happens When Someone Books

Here is the automated flow after connecting Zoom:

  • Guest selects a time slot and submits the booking form.
  • Meetario calls the Zoom API to create a scheduled meeting at that date/time.
  • Zoom returns a meeting ID and join URL.
  • The join URL is included in the confirmation email to both you and the guest.
  • If you have Google Calendar or Outlook connected, the calendar event also includes the Zoom link.

When a booking is cancelled, Meetario automatically deletes the Zoom meeting. When rescheduled, the meeting time is updated.

Zoom Meeting Settings

Meetario creates Zoom meetings with your default Zoom settings. If you want to customize settings like:

  • Waiting room enabled/disabled
  • Password required
  • Auto-record
  • Mute participants on entry

Configure these defaults in your Zoom account settings at zoom.us/profile/setting. Meetario inherits these defaults when creating meetings.

Troubleshooting

Zoom shows as disconnected

Zoom OAuth tokens can expire. If the integration shows a warning or error, go to /app/integrations, disconnect Zoom, and reconnect it. This refreshes the authentication tokens.

Meeting not created for a booking

Check that the event type has Zoom selected as the location. If it is set to Jitsi, Phone, or another option, Zoom meetings are not created. Also verify the Zoom integration is active (green "Connected" badge).

Free Zoom plan limitations

If you are on the free Zoom plan, meetings with 3 or more participants are limited to 40 minutes. For group event types where multiple guests may join, consider upgrading your Zoom plan or using Jitsi (which has no time limit).

"User not found" error

This can happen if you connected a personal Zoom account but your organization later migrated to a Zoom Business account. Disconnect and reconnect with your current Zoom credentials.

Zoom vs Jitsi
