Automation Pattern 2: Deal Stage Progression

Beyond contact-level lifecycle stages, booking events can drive deal-level pipeline changes. This works in any CRM with automation or workflow capabilities (HubSpot Workflows, Salesforce Flows, Pipedrive Automations).

A typical setup looks like this:

  1. A booking for event type "Discovery Call" triggers the deal to move from "New" to "Discovery."
  2. Completion of the discovery meeting (status changes to "Completed") moves the deal to "Demo Scheduled" — because the logical next step after discovery is a demo.
  3. A booking for event type "Technical Evaluation" moves the deal from "Demo Scheduled" to "Evaluation."
  4. A no-show on any meeting type creates a task for the rep to follow up within 24 hours and does not advance the deal.

Automation Pattern 3: Task Creation and Follow-Ups

Meetings without follow-ups are meetings wasted. One of the highest-value automations you can build is automatic task creation tied to booking events:

  • Pre-meeting prep task — created when a meeting is booked, due one day before the meeting. Reminds the rep to review the prospect's account and prepare using custom field responses from the booking form.
  • Post-meeting follow-up task — created when a meeting status changes to "Completed," due one day after the meeting. Prompts the rep to send a recap email, share requested materials, or update the deal with meeting notes.
