Why Your Booking Page Needs Outlook Calendar Sync
If your organization runs on Microsoft 365, Outlook Calendar is where your real schedule lives. A booking page that does not read from Outlook is guessing at your availability rather than checking it, which means guests can pick times that overlap with existing meetings, and you end up juggling two disconnected systems. Meetario eliminates this by treating your Outlook Calendar as the authoritative source for when you are free, so the booking page and your calendar are always in agreement.
With Outlook sync configured, your Meetario booking page becomes a live window into your actual schedule. Visitors see only the times you are genuinely available, and every confirmed booking is written back into Outlook as a proper calendar event — complete with an attendee invitation that the guest receives through their own email and calendar system.
How Two-Way Sync Works with Outlook
Meetario connects to Outlook through the Microsoft Graph API, providing two-way synchronization:
- Reading from Outlook — Meetario retrieves your free/busy data from every Outlook calendar you mark for conflict checking. Busy time slots are automatically hidden from your booking page.
- Writing to Outlook — When a guest books a time slot, Meetario creates an Outlook calendar event with the meeting title, description, guest email as an attendee, and a video conferencing link if configured.
Updates flow both ways too: rescheduled bookings update the Outlook event to the new time, and cancelled bookings remove the event entirely. The guest receives updated or cancelled meeting invitations through Outlook automatically.
Step 1: Connect Outlook Calendar
Log into your Meetario account and go to /app/integrations. Find the Microsoft Outlook card and click Connect. You will be redirected to the Microsoft login page, where you need to:
- Enter your Microsoft credentials — either your work/school (Microsoft 365) account or a personal Outlook.com account.
- Review the permissions Meetario is requesting: read/write access to your calendars and basic profile information.
- Click Accept to authorize.
If your organization uses Microsoft 365 with admin-controlled consent, you may see a "Need admin approval" message. In that case, your IT administrator needs to approve the Meetario app before you can connect. Once approved, repeat the connection process.

Step 2: Select Your Calendars
Once connected, Meetario fetches all calendars from your Outlook account. Configure two settings in the integration panel:
- Calendar for new events — Which Outlook calendar should receive new booking events. Most users select their default "Calendar" folder, but you can choose a specific one like "Client Meetings" if you prefer to separate booking events from other calendar items.
- Calendars to check for conflicts — Select every calendar that should block availability on your booking page. If you have a shared team calendar or a separate calendar for personal appointments, include those so events on any of them prevent guests from booking during those times.
Step 3: Create Your Event Type
Navigate to /app/event-types and click Create Event Type. Fill in the basics:
- Name and description — Something clear for your guests, like "30-Minute Consultation" or "Product Demo."
- Duration — How long the meeting will last.
- Location type — Choose video call (Microsoft Teams, Zoom, or Jitsi), phone call, or in-person. If you select Microsoft Teams and your Outlook account supports it, Meetario can generate a Teams meeting link automatically for each booking.
- Booking type — Individual for one-on-one meetings, or team-based options like round robin if you want to distribute bookings across multiple people.
Step 4: Configure Availability Rules
Availability rules define the outer boundaries of when your booking page can offer slots, before Outlook conflicts are applied. On the event type, open the Availability tab:
- Set working days and hours for each day of the week.
- Set minimum notice (for example, guests must book at least 4 hours in advance).
- Set the booking window (for example, guests can book up to 60 days into the future).
- Add buffer time before and after meetings to prevent back-to-back scheduling.
Outlook Calendar sync layers on top of these rules. A time slot only appears as available if it falls within your configured working hours and your Outlook Calendar shows no conflicting event during that period.
Step 5: Publish and Share
Once your event type is configured and calendar sync is active, your booking page is live. You can find the shareable URL on the event type settings page. What Happens When Someone Books
When a guest selects a time and submits the booking form on your Meetario page, the following sequence happens:
- Meetario re-checks your Outlook Calendar in real time to confirm the slot is still free — this catches conflicts that appeared between page load and submission.
- A new event is created on your selected Outlook calendar with the guest's name, email, meeting description, and video link.
- The guest is added as an attendee and receives a meeting invitation through Outlook's standard invitation system.
- Both you and the guest receive a Meetario confirmation email with an .ics calendar attachment.
- The slot is immediately removed from your booking page for other visitors.
Using Outlook and Google Calendar Together
If you use Outlook for work and Google Calendar for personal life — or vice versa — you can connect both simultaneously. Meetario checks all connected calendars when calculating availability, so a personal Google Calendar event and a work Outlook meeting both block the same slot. Troubleshooting
Booking page shows slots that are busy in Outlook
Verify the calendar containing those events is selected under "Calendars to check for conflicts" in your Outlook integration settings. Events on unselected calendars are invisible to Meetario.
New bookings are not appearing in Outlook
Check that a calendar is selected under "Calendar for new events" in the integration settings. If the connection shows as active but events are not being created, disconnect and reconnect Microsoft Outlook from /app/integrations to refresh the OAuth token.
"Need admin approval" during connection
Your Microsoft 365 organization restricts which third-party apps can access calendar data. Ask your IT administrator to approve Meetario in the Azure Active Directory admin center, then retry the connection.
Token expired or authentication error
Microsoft tokens can expire if you change your password or if your organization rotates access policies. Disconnect Outlook from /app/integrations and reconnect to re-authorize.
