Complete Guide to Calendar Sync for Scheduling Tools

Why Calendar Sync Is the Foundation of Online Scheduling

A booking page without calendar sync is a digital suggestion box. Guests pick times that look open, but nobody has checked whether those times are actually free. The result is double bookings, awkward cancellations, and a scheduling workflow that creates more work than it saves. Calendar sync eliminates this problem by connecting your scheduling tool directly to the calendar you already use, so availability is always accurate and every confirmed booking is written back to your calendar automatically.

Meetario treats your connected calendar as the single source of truth. Rather than maintaining a separate availability database that you have to keep updated manually, it reads your real calendar data in real time and writes new bookings straight back into it. This two-way connection is what makes the difference between a booking page that works and one that causes confusion.

What Two-Way Sync Actually Means

Two-way sync describes information flowing in both directions between Meetario and your calendar provider:

  • Reading from your calendar — Meetario checks your existing events to determine which time slots are busy. Those slots are hidden from your booking page so guests cannot select them. This happens in real time, not on a schedule, so even an event you added moments ago is reflected immediately.
  • Writing to your calendar — When a guest confirms a booking, Meetario creates a new event on your calendar with full meeting details: guest name, email address, video meeting link, and any custom field responses from the booking form.

Two-way sync also covers updates. If a guest reschedules through Meetario, the calendar event is updated to the new time. If a booking is cancelled, the calendar event is removed. Your calendar always reflects the current state of every Meetario booking without you touching anything.

Calendars Supported by Meetario

Meetario integrates with five major calendar providers, covering the vast majority of personal and business calendar ecosystems:

  • Google Calendar — The most widely used calendar for individuals, startups, and organizations running Google Workspace. Full two-way sync with support for multiple calendars, conflict detection across all of them, and automatic Google Meet link generation. See our guide to connecting Google Calendar for setup steps.
  • Microsoft Outlook — The standard for enterprises and organizations on Microsoft 365. Supports the same two-way sync via the Microsoft Graph API, including shared team calendars and automatic Teams meeting links. Our Outlook connection guide walks through the OAuth process.
  • Apple Calendar (iCloud) — For users in the Apple ecosystem who rely on iCloud Calendar as their primary scheduler. Connection details are in our Apple Calendar guide.
  • Zoho Calendar — Popular with teams already using Zoho's business suite. See the Zoho Calendar connection guide.
  • Yahoo Calendar — For Yahoo Mail users who manage their schedule through Yahoo's built-in calendar. Setup instructions are in the Yahoo Calendar guide.

You can connect multiple calendar providers simultaneously. Meetario checks all connected calendars for conflicts when displaying your availability, so if you use Google Calendar for work and Apple Calendar for personal events, both are accounted for.

What Data Flows Between Meetario and Your Calendar

Understanding exactly what information moves in each direction helps with privacy and configuration decisions:

Data Meetario reads from your calendar

  • Event start and end times (to determine busy periods)
  • All-day event flags (to block entire days when needed)
  • Free/busy status of each event
  • Calendar list (so you can choose which calendars to check for conflicts)

Meetario does not read event titles, descriptions, attendee lists, or other sensitive details from your existing calendar events. Only timing data is needed for conflict detection.

Data Meetario writes to your calendar

  • Event title (your event type name)
  • Start and end time
  • Guest name and email as an attendee
  • Meeting description with booking details and custom field responses
  • Video conferencing link (if you use Zoom or Jitsi integration)

How to Choose the Right Calendar

If you already use a calendar daily, the decision is simple: connect that one. The goal is to sync with the calendar that already reflects your real schedule. A few specific scenarios:

  • Google Workspace organization — Connect Google Calendar. You get the deepest integration including multi-calendar support, Google Meet links, and team scheduling features. See our guides on creating a booking page with Google Calendar and how conflict detection works.
  • Microsoft 365 organization — Connect Outlook. Equivalent two-way sync with Teams link support and shared calendar conflict checking. Our Outlook booking page guide covers the full setup.
  • Mixed ecosystem — Connect both. Meetario checks all connected calendars for conflicts, so a Google Calendar meeting and an Outlook Calendar meeting both block the same slot on your booking page.
  • Apple-first individual — Connect Apple Calendar if iCloud Calendar is where you manage your schedule. If your workplace uses Google or Outlook separately, consider connecting that one too.

For teams, the most important factor is which calendar your organization standardizes on, since team scheduling features like round-robin distribution and collective booking require every team member to have their calendar connected.

Setting Up Calendar Sync in Meetario

The connection process follows the same pattern for every provider:

  1. Log into Meetario and navigate to /app/integrations.
  2. Find your calendar provider and click Connect.
  3. Authorize Meetario through the provider's OAuth consent screen.
  4. Select which calendar should receive new booking events.
  5. Select which calendars Meetario should check for conflicts.

Once connected, go to /app/event-types to create or edit an event type. Your availability rules (working hours, buffer times, booking window) combine with live calendar data to produce the final set of open slots shown to guests. For a full walkthrough of building a booking page, see our booking page setup guide.

Common Questions About Calendar Sync

Can I connect more than one calendar account?

Yes. You can connect multiple providers (for example, Google Calendar and Outlook) at the same time. All connected calendars are checked for conflicts.

Does syncing slow down my booking page?

No. Calendar API queries typically complete in under a second. Meetario queries your calendar when the booking page loads and again when a booking is submitted, and both checks happen fast enough that guests do not notice any delay.

What happens if my calendar connection expires?

OAuth tokens can expire if you change your password or revoke access. Meetario shows a warning on the integrations page, and you can reconnect with one click. No bookings will be created on a disconnected calendar — Meetario does not silently skip the calendar write.

Is my calendar data stored on Meetario servers?

Meetario does not store a copy of your calendar. Free/busy data is queried in real time and used only for the duration of the availability calculation. The only calendar data Meetario persists is the events it creates itself (your bookings).

Next Steps

Calendar sync is the first thing to configure in any scheduling tool, because everything else — availability rules, buffer times, double-booking prevention, timezone management, and team scheduling — depends on having accurate, live calendar data. Pick the guide for your calendar provider from the list above, connect your account, and your booking page will reflect your real availability from that point forward.
